There are currently five businesses within the clinic. This position is to handle reception duties for two businesses.
- 1-bare Aesthetics & painless laser hair removal
- 2-Revitalize your health Urinary & Sexual health centre
The other businesses handle their own reception/booking.
Summary
The Receptionist will be responsible for directing front desk activities including the accurate and timely routing of telephone calls, and all reception activities.
Key Responsibilities
- Must learn of all services offered by both companies and be able to answer basic questions about the services and be able to book clients in for appointments
- Be able to go through client lists for client retention purposes
- Client Follow up is key to these businesses
- Knowledge or experience in the Aesthetics industry
- Health and wellness experience an asset
- Welcomes visitors by greeting them, in person or on the telephone; answering inquiries
- Perform clerical duties and maintain front desk duties
- Respond to inquiries over email
- Confirm appointments
- Schedules appointments using the Jane App and Fresha booking systems on the computer
- Answers incoming calls on multi-line telephones and provide information as required
- Maintain accurate spreadsheets for various company documents and databases
- Accurately processes, maintains, and updates documentation, records and templates
- Provides accurate and timely information when required
- Responds quickly, accurately and courteously to incoming calls and visitors
- Works to consistently improve processes and efficiencies where applicable
Knowledge & Educational Requirements
- Completion of a College Diploma from a Clerical or Administrative Discipline
- Proficiency in the use of Microsoft Word, Excel, PowerPoint, Outlook
- Experience using Jane App and/or Fresha an asset
- QuickBooks accounting/bookkeeping an strong asset
- Familiarity with Apple iPhones, iMAC and laptops
Specific Experience & Skills
- 2+ years’ experience working within a switchboard, reception, or administrative capacity
- Ability to type a minimum of 45 words per minute
- Operational knowledge of office equipment and machinery such as telephone system console, scanning, faxing, etc.
- Ability to exercise administrative judgment and assume responsibility for decisions, consequences and results that have an impact on people, costs and/or quality of service
- Ability to multi-task, be detail oriented, accurate, and thorough
- Demonstrated ability to maintain highly confidential & sensitive information
- Excellent communication skills – both verbal and written
- Solid organizational abilities

Compensation
$17-22/hr to start depending on experience
Hours
Monday 12:00-8:00pm
Tuesday 10:00am-6:00pm
Wednesday 10:00am-6:00pm
Thursday 12:00pm-8:00pm
Friday 9:00am-5:00pm
Some flexibility with scheduling is possible
